This week was a great week for our group. We are on the right track with our project, and know exactly what we have to do next. The proposal was written on Sunday night by Cedric and Eric, as agreed upon by our group, since it was already understood that Filip and I (Lauren) would be out of town and not able to meet with the group. Eric and Cedric did a great job with the proposal. Cedric had taken notes when he and I met with Mr. Cupp last Thursday, and he used those to help write the proposal. We turned it in Monday, had a couple revisions, and then took it to the client on Tuesday night. Fortunately, unlike our last client meeting, all four of us were able to be there on Tuesday. We met with Mr. Cupp at his home at 8:30pm. His family friend was also there at the time, and she listened in on our meeting and offered some great suggestions. The proposal was very successful with our client, and we are ready to start working on the brochure for GLRSA. We will probably start this at the end of this week or early next week, and hope to be able to get a pretty good rough draft done by next Friday. In the end we don’t anticipate the project taking us too long to complete, so we told the client that we might be able to help them get the brochures and mailers printed and possibly even passed out, if time permitted.
Client Meeting Report:
1. What happened?
Mr. Cupp reviewed our proposal and proposed no major changes to the document. The only suggestion he made was that we only focus on writing a mass mailer for sponsors and the actual brochure itself for now. He said that we should leave the website idea alone for now, because he believes we should pay attention to the brochure and mailer, which will be of the most benefit to the organization. Also, his family friend was there and she listened in on our meeting. She had some good ideas for the project, which may help us out later.
2. What did you discuss?
We discussed trying to improve the website, but Mr. Cupp said that we should not worry about working on it now. Instead, he said, we should focus primarily on the brochure and mailer. During our meeting, Mr. Cupp called Mr. Rodney Tucker, President of the GLRSA. Mr. Cupp informed Mr. Tucker that we had emailed the proposal to Mr. Tucker, so he got on his email and reviewed it. Mr. Tucker told Mr. Cupp that he was impressed with our proposal and is looking forward to the final product. He is pleased with the path we are headed down as well, and is ready to have us start working on the brochure. The family friend that was at Mr. Cupp’s house at the time suggested a way to get the brochures and mailers printed free of charge, which may come in handy later down the road.
3. What reactions did the client have to your proposal?
Our client was very impressed with the proposal, and is looking forward to the finished product. They are very willing to help along the way, and are excited to use the brochure and mass mailer we’re creating for them to better and expand their organization.
4. Was your proposal accepted?
Yes, our proposal was accepted with much enthusiasm!
5. Was it accepted with revisions? What are they? What is your plan?
The only small revision made to the proposal was that we don’t work on the website. Though we had talked about updating the GLRSA website during our first meeting with Mr. Cupp, he has recently talked to other people in the organization and they have decided that we shouldn’t mess with that just yet. He said that the website is maintained by an outside organization, so it would take a lot of effort to be able to change it.
6. If it wasn’t accepted, what are you planning?
As I have said, it was accepted and we are ready to start working first on the brochure, and then on the mass mailer.
Explanation of the agreement you and your client came to:
We agreed that the deliverables are to be: 1. A brochure about GLRSA, with details about how to sign up as a player or coach, as well as descriptions of what they need (more referees, coaches, volunteers, and sponsors) and contact information. 2. A mass mailer that will help secure sponsors. This will be mailed out to many companies in Lafayette and West Lafayette, with a brochure that we have produced also included in the envelope. This will be easier than the method GLRSA currently uses to get sponsors, which is having a lady call a bunch of businesses asking for money. With the mailer and brochure, our client feels that companies would be more informed of the organization they were potentially sponsoring, and it would cut down on the repetitive work that used to be done in order to secure sponsors.
Resource for the project:
We won’t need to use many resources for this project, as there isn’t much documented information to base our brochure and mailer off of. We will use our previous knowledge of soccer in general, which Filip and I will be helpful with as we have both been soccer players for many years, as well as specific information provided to us by GLRSA. The client will be reviewing the brochure to make sure we have included and correctly cited the information in the brochure, so that it is effective as possible. The mass mailer will be based off of the current system they use to secure sponsors, but rather than being in phone call form the request for sponsors will be on paper. We will use pictures from the internet as well as the GLRSA logo provided to us by Mr. Cupp.
